1. Introduction 

1.1 This document outlines the terms and conditions ("Terms") of your Oxford Vapours Product Protection Policy ("Policy") provided by Oxford Vapours ("Provider").

1.2 By purchasing this Policy, you agree to be bound by these Terms.

2. Policy Overview 

2.1 The Oxford Vapours Product Protection provides cover for your electronic vaping device ("Device") for a period of 12 months from the date of purchase ("Policy Period").

2.2 The cost of this Policy is £3.50GBP for the entire Policy Period (The £3.50GBP purchase of the Oxford Vapours Product Protection Policy will not earn loyalty points).

2.3 The Oxford Vapours Product Protection must be bought in the same transaction as the Device.

2.4 Disposable Devices are excluded from this Policy, including single use and rechargeable disposable systems.

2.5 This Protection Plan is only available through our physical shops. It is not available through our online website. 

3. Coverage 

3.1 The Policy covers the following:
a. Accidental damage to the Device.
b. Malfunction due to manufacturing defects.
c. Theft of the Device with a police report.

3.2 The following are not covered:
a. Loss or theft of the Device without a police report.
b. Cosmetic damage (e.g., scratches, dents) that does not affect functionality.
c. Damage caused by unauthorized repairs or modifications.
d. Damage resulting from intentional misuse.
e. Perishable components (e.g., replacement pods, coils).

3.3 We reserve the right to carry out repairs on the Device where applicable.

4. Claims Process 

4.1 In the event of a claim, you must:
a. Notify the Provider within 7 days of the incident by contacting your local Oxford Vapours store, by calling 01235 426300 or emailing contact@oxfordvapours.com.
b. Provide proof of purchase of the Device and the Policy.
c. Submit any additional documentation requested by the Provider (e.g., police report).
c.1. A police report must be provided at the earliest opportunity and within a reasonable timeframe if theft the reason for submitting your claim.
d. If the Device is still in your possession but no longer works you might need to return it to your local Oxford Vapours store upon request.

4.2 Claims will be processed within 14 days of receiving all required documentation.

4.3 In the event that an exact replacement is not available, we will provide a replacement device of similar or superior specifications, functionality, and value, as determined at our sole discretion.

If an exact replacement is not available, we will provide a replacement of similar or better specifications, functionality, and value.

4.4 Should the purchased Device exhibit any manufacturing defects within the initial 30-day period, and provided that the customer has acquired a Product Protection Policy, the return of the item shall not affect the validity of the Protection Policy. Furthermore, the sum of £3.50 shall remain applicable towards the replacement Device.

5. Policyholder Obligations 

5.1 The Policyholder must take reasonable care to protect the Device from theft, loss, or damage. 

5.2 The Device must be used in accordance with the manufacturer’s instructions.

5.3 The Policyholder must have an Oxford Vapours loyalty account with up to date contact information.
a. Loyalty accounts are to be set up in one of our Oxford Vapours stores.
b. A loyalty account can be set up at zero cost to the Policyholder. 

5.4 We will process your personal data in accordance with the UK GDPR and our Privacy Policy.

6. Cancellations and Refunds 

6.1 The Policyholder may cancel the Policy within 14 days of purchase for a full refund, provided no claim has been made. This does not affect the manufacturers warranty on the Device. 

6.2 To cancel the Policy you may do this in either of our Oxford Vapours stores or contact us via the details provided at the end of this Policy.

6.3 Once the Policy has been cancelled the Device is no longer covered and a new Policy can not be purchased on that Device.

6.4 After 14 days, the Policy is non-refundable unless required by law, such as in cases of misrepresentation or breach of statutory rights.

7. General Exclusions 

7.1 The Policy does not cover damage caused by natural disasters, war, or acts of terrorism. 

7.2 The Policy is valid only within the United Kingdom.

7.3 This Policy is only available in our physical stores and not available online.

8. Limitation of Liability 

8.1 The Provider’s liability under this Policy is limited to the repair, replacement, or refund of the Device, subject to the terms of this Policy, except where liability cannot be limited by law.

9. Governing Law 

9.1 These Terms shall be governed by and construed in accordance with the laws of England and Wales.

9.2 The Provider reserves the right to amend these Terms and Conditions in accordance with applicable UK law. Any changes will be communicated to the Policyholder via email or other means at least 30 days before they take effect, unless the changes are required by law to take immediate effect.

By purchasing this Policy, you acknowledge that you have read, understood, and agree to these Terms and Conditions.

Nothing in these Terms affects your statutory rights under the Consumer Rights Act 2015. This Policy operates alongside your statutory rights and any manufacturer’s warranty.
